The scanning and document conversion process includes:

  • Document Prep – fixing tears and folds, removing staples and binding, and preparing odd sized documents to go through the scanners;
  • Scanning each individual page as a TIFF Group IV format in 300 DPI;
  • Quality checking every page to insure quality, legibility, and accuracy of indexing.
  • Indexing/identifying the documents in a manner consistent with client's current record retention system.
  • Exporting the images to the appropriate format.  Apex’s capture software allows for the export of images to more than 200 different file formats and facilitates the ability to import the images into third-party software.
  • Completing all aspects of the scanning project as quickly as possible while maintaining accuracy, quality and completeness of the record. 
  • Shredding of the original documents upon client’s approval and providing a Certificate of Destruction to the client.
  • Recycling of client’s boxes, files, tabs, etc. if requested, further reducing client’s expenses.
